Submitting a poster and abstract

Deadline: July 15, 2022, 5 p.m. IST

Note: Please review the information and instructions below in their entirety before proceeding with poster abstract submission. All abstracts must be submitted online.

Submission requirements

Poster abstracts must meet approved standards for scientific validity, quality, and consistency, and must be submitted online correctly to be considered for presentation at the ForeCytDX Expo Hall as a poster presentation.

General requirements

Multiple submissions 

Authorship on multiple poster abstracts is permitted. Multiple poster abstracts submission of similar content will result in submissions rejection. 

Prior publication 

Content previously published ‘may be made’ by any one or more of the submitting authors. Written conformation on the copyright to the poster must accompany the entry. 

Technical information 

Technical information cannot be withheld on the grounds of proprietary information. Statements such as “results will be discussed” are unacceptable.

Promotions 

Poster abstracts may not contain any type of branding, advertising or logos.

Required content

• Research/study objective.

• Demonstrate relevance.

• Methodology description.

• Validation with data or objective evidence to support conclusions. 

• Validation to be part of abstracts. 

Information may vary depending on type of study and objectives. 

o Technical studies should include analytical data and statistical analysis. 

o “Non-technical” abstracts describing educational resources, management tools, process improvement, software, etc. must have objective evidence.

o Development/evaluation of a new analytical method/procedure should include: 

a) Procedure, 

b) Measuring range,

c) Linearity, 

d) Precision, 

e) Accuracy, 

f) Interferences and cross-reactivity.

o Clinical studies should include: 

1) Population, 

2) Reference intervals and/or decision limits, and diagnostic accuracy.

o Other studies should include: 

A) Description of process or product, 

B) Inputs, 

C) Outputs, 

D) Comparison of outcome to original or comparative process/product outcome, 

E) And appropriate statistical analysis.

o  Results and conclusions statement.

All poster abstracts must be submitted as required by the organizer.  

Submissions to be completed by 5 p.m. IST on July 15, 2022.

The Secretariat strongly recommends reading detailed information below on steps involved in a poster submission. 

Submission

Abstract information 

Includes title, topics, related divisions, text, and tables/graphics/images.

Author details 

Enter contact information for all authors and specify presenting author.

Oral presentations 

To be considered for any of the Poster Recogination offered by HealthStar Recogination, indicate interest area.

Roles & responsibilities

There are 3 main roles in a poster submission, of which, some may overlap. 

Submitter 

This is usually, but not always, the presenting author. The submitter can view and edit the submission up to the deadline and will receive confirmation of the submission. The submitter will not receive a decision notice unless they are the presenting author.

Presenting author/presenter 

Presenting author is designated during the submission process. 

They may receive confirmation of the submission, if triggered by submitter. 

The presenting author receives decision notification and all subsequent communications – they will have to access the submission site to confirm acceptance of the decision and invitation to present. 

Presenting authors are required to present the poster at the ForeCytDX Summit and MUST register with a full Conference to present their poster. 

Expo Only and Exhibitor passes are not acceptable registration types for poster presentation.

Co-Author 

Poster abstracts can have multiple co-authors. 

They may receive confirmation of the submission, if triggered by submitter. 

Co-authors will not receive any other communications and ‘do not need’ to register or attend Summit.

Submission site access

Login credentials 

The submission site uses an independent login.

Check for existing account 

If you previously submitted or were listed as an author on a past poster abstract, you may have an account in the system. Use the “Forgot your password?” link to reset your password.

Creating a new account 

If needed, you may create a new account in the poster abstract submission site. 

If you receive the following error when creating a new account, it likely means you already have an account with the email you entered. 

Return to login screen and use the ‘Forgot password?’ link to reset.

Editing submissions 

A reminder that only the submitter may edit a submission.

Abstract title

Title in 25 words using title casing. 

Do not use ALL CAPS

The title should catch a viewer’s attention and clearly represent the topic of your poster.

Topics

Select a primary (required) and secondary (optional) topic that best represents your abstract. 

Each submission must be linked to at least one of the following topics. These topics are used during the review to ensure matching expertise from reviewers and help determine when your poster will be presented. 

• Analytic techniques and applications

• Data analytics and bio-informatics

• General clinical chemistry

• Hematology and coagulation

• Laboratory management 

• Diagnostics leadership

• Patient safety

• Microbiology and infectious diseases

• Molecular diagnostics

• Pre and post analytical

• Precision medicine

• Special patient populations

• Toxicology/therapeutic drug monitoring

• Rare diseases  

Related segments

Select a maximum of 3 segments most related to your submission. 

The segment grouping allows members to join specialty groups that focus on specific area(s) of interest or expertise.

Authors

Provide contact information for all authors. The first author entered will be the presenting author. 

You may change the presenting author once you add additional authors. 

A submitter need not be the author. 

Please note – ONLY presenting author’s receive communications about decisions and additional details. 

The presenting author MUST register for the full Summit to present their poster in person. 

Expo Only and Exhibitor passes are not acceptable registration types for poster presentation. 

If you are add yourself as an author, please use the same email in the author information used to login to the submission site. 

Abstract

If accepted, the abstract body, along with author information, will appear in online program and program guides.

Abstract body 

Abstracts may be of maximum 500 words. Submission with a table or graphic/image can be of 300 words. 

DO NOT include the title or author information in the abstract body. 

You can enter the abstract body into the system directly or import it as a upload. 

Tables may be imported with text. 

Images will not be imported. 

Once you upload the file, you will be able to edit the text and/or table online. 

Note that uploading a file overwrites any existing content. Each abstract should contain the following:

• Background

• Methods

• Results

• Conclusion

Oral presentation

Top scoring abstracts may be considered for an oral presentation. 

If you are not interested in having your poster considered, you may opt out. 

A selected oral poster presentation  is expected to be presented during the poster presentation time assigned. 

Felicitations

The felicitations are held under the HealthStar R&R Program. 

The competition is intended for industry professionals who are presenting authors of accepted posters. 

Posters are judged based on scientific value, originality, and quality. 

Poster presentation. 

Mementos awarded to top entries. 

The ForeCytDX Summit & Expo will be held as a live, in-person meeting that will include an in-person Poster Hall experience.

Poster presenters will have the opportunity to showcase their research and present to conference attendees. 

ForeCytDX Secretariat is exploring online presentation options to complement the in-person experience that may include e-Poster presentation.

COVID-19 protocols

HealthStar is designed with the priority of keeping the health and well-being of our community in mind. 

We are therefore working closely with the convention center, vendor partners, and hotels to implement thorough but adaptable COVID-19 safety protocols. 

These protocols will meet or exceed all recommendations and safety procedures from MOH, as well as industry standards.

HealthStar Secretariat will continually update plans and guidelines as new information becomes available and as environmental conditions change. 

The Secretariat will routinely share all updates on evolving COVID-19 preparations as they actively work to plan for a healthy and productive event.

July 15, 2022, 5 p.m. IST.

• Poster abstracts to be submitted online vide email or on platform. 

• Multiple submissions are welcome. 

• No fees for submissions. 

• Shortlisted entries and authors are expected to be sent notifications by 28th July 2022.

• Presenting authors are requested to be registered as Summit attendees to present at the Summit.
